Terms and Conditions

These terms and conditions “Terms” govern your purchase of tickets for, and attendance at, the Voluntary Assisted Dying Conference to be held in Brisbane in 2024 "Conference" held by Go Gentle Australia and VADANZ (Voluntary Assisted Dying Australia and New Zealand). Since the Conference is co-hosted by our two organisations, any terms such as “we, us, our” refer and apply to both organisations equally. It is your responsibility to review these Terms prior to the purchase of tickets. By purchasing tickets for the Conference, you agree to be bound by these Terms. 

Admission

All those attending the Conference are expected to follow the usual codes of polite, professional conduct and behaviour. We reserve the right to refuse admission or request a person to leave if they engage in disruptive or unlawful behaviour.

Payment

Payment must be completed at the time of ticket purchase in order to receive your Conference booking confirmation and tickets. You can pay using our approved, secure merchant Humanitix. Please note your registration is not guaranteed until payment in full is received.

Confirmation

A confirmation email will be sent to you automatically after purchasing your ticket.

Registration - cancellations, amendments and substitutions

General
The name on the ticket must be the name of the person who attends the Conference.

Substitutions
As an alternative to cancellation, your ticket may be transferred to another person without incurring any penalty. Please advise us of the transfer in writing by emailing the name, position, phone and email address of the new delegate to [email protected]. The transfer process is only complete once our team has contacted you to confirm the change. All changes will be made subject to our team’s availability. 

Cancellations by you

Conference ticket refunds will not be given if requested in the period which is 30 days or less before the start of the Conference.

Refunds for Conference tickets requested more than 30 days from the start of the Conference will receive a full refund less 10% and the booking fee.
Refund requests must be made in writing and sent to [email protected]

No refunds will be provided for social function tickets if requested in the period which is 30 days or less before the date of the function. Tickets can be transferred to another name.

Cancellation by us

If we cancel the Conference or any social function for a reason other than a Force Majeure Event, we will provide you with a full refund less the booking fee.

Cancellation or postponement due to a Force Majeure Event
In these Terms, a “Force Majeure Event” means any of the following (whether or not foreseeable or anticipated): acts of God, terrorism, war, civil unrest, strike or labour dispute, lack of transportation, breakdown, labour or material shortage, blockade or embargo, supplier failure, epidemic or pandemic, government restriction, order or recommendation, legal requirement, extreme weather, earthquake, drought, fire, flood, explosion, natural disaster, and/or any other event, cause or circumstance that is beyond our reasonable control. 

If we cancel the Conference or any social function due to a Force Majeure Event, we will provide you with a full refund less 20% and the booking fee.

In the event the conference cannot be held on the planned date and is postponed due to a Force Majeure Event, we will notify you of the postponement and then notify you of the rescheduled date as soon as we know. You will have the period of time (which will be set out in the notice) after we provide that notice, to confirm if:

 

  • you can attend on the rescheduled date, in which case your ticket will be transferred to the rescheduled date; or

 

  • you cannot attend on the rescheduled date, in which case you will receive a full refund less 20% and the booking fee.  

We will notify ticket holders of a cancellation or postponement of the Conference by sending an email to the address provided to us by the ticket holder and putting a notice on our website. If you change your email address it is your responsibility to provide us with your new email address via [email protected].

In the event of Force Majeure Event, we cannot be held liable for any consequential damages, costs, or losses incurred. 

Virtual attendance
A link will be sent to virtual attendees the day before the Conference. This link is connected to your personal registration and cannot be shared.

It is the responsibility of each virtual attendee to ensure they have the technical requirements to access the Conference website, app or other virtual platform to access the Conference. No refunds will be issued in the event of a delegate’s technical issues, failure or error.  

If a technical error on our part causes more than 2 hours of the Conference to be unavailable, we will provide a full refund, if requested, via email at [email protected].

The cameras and microphones of virtual attendees will be switched off throughout the Conference. Virtual attendees will be able to submit questions via the virtual platform used to provide virtual attendance.

Insurance

Registration fees do not include insurance of any kind. It is strongly recommended that you take out your own travel insurance and medical insurance prior to the Conference.  Your insurance should include cover for loss of attendance fees, loss of airfares or other travel costs and medical expenses.

Indemnity

You are liable for any damages caused by you to the conference venues, accommodations rooms, conference supplier equipment or conference organiser’s equipment. In registering for the Conference, you agree to indemnify us, as well as the Conference venue operator, accommodation providers and Conference equipment suppliers for any loss, costs and damages we or they suffer which are caused by you. 

Image release

In purchasing tickets for the Conference, you consent to us (and our agents and representatives) taking videos and photographs of you at the Conference and having the right to use these videos and photographs containing your image and likeness for promotion, news, online/ multimedia, research and/or educational purposes. You agree that you are not entitled to any remuneration, royalties or other payment from us for that use. You release and discharge us (and our agents and representatives) from any and all claims, demands and/or causes of actions that they may hereafter have by reason of anything contained in the videos and/or photographs and our use of them.

If you do not consent to videos and photographs of you being taken, please advise us prior to the Conference by contacting [email protected] and also notify photographers and videographers at the Conference.

We reserve the right to prohibit or restrict and limit your use of cameras and other recording equipment including mobile phones at the Conference.

Intellectual property

Some presenters may agree to share their presentation slides and webcasts (where available) with delegates attending the Conference only. Copyright in that content is owned by the presenters and/or other third parties and is not intended for wider distribution – copying, sharing and/or disseminating that content is not permitted without written permission of the copyright owner.

Special dietary requirements

When you purchase tickets, we will ask for your dietary requirements and will take reasonable steps to meet dietary needs. We cannot guarantee dietary requirements will be catered for.

Accessibility requirements

The venue is wheelchair accessible and we will do our best to accommodate accessibility needs such as hearing loops. Please make us aware of any accessibility needs you have when you book your ticket and email [email protected] with any questions or concerns.

Law

These Terms are governed by the laws of Queensland, Australia.
